Administrative Assistant, Athletics (Req.)
Caldwell University invites applications for a full-time Administrative Assistant, Athletics. Reporting directly to the Assistant Vice President/Director of Athletics. This position is responsible for providing general support and assistance to include maintaining calendar, databases, and schedules; preparing correspondence, maintaining budget and payment requests, and so forth. Job duties include, but are not limited to:
Prepare and process all correspondence within the Athletics department. Scan documents, receive and distribute mail; prepare and distribute memos; photocopy documents.
Welcome visitors, faculty, staff, and students. Answer telephones, take messages, respond, or refer.
Maintain athletics-related calendars in office and around campus update information on the Athletic Department website which include the Caldwell University Master Calendars.
Prepare new hire personnel information for HR and the Athletic Department.
Arrange travel accommodations for the AVP and help with travel plans for others within the athletic department.
Prepare payment requests for vendor payments, referee payments, and coaches expenses with an accurate budget accounting. Process credit card payment requests for the department.
Maintain files, budget forms, payment requests, contracts, student athlete files (athletic grants and NLI’s).
Distribute, collect and process paperwork for meal money for each sport.
Assist in the planning of various department events such as the Senior Athletic Awards Dinner, Hall of Fame, and athletic conference meetings held at the university.
Revise, copy, and assemble Coaches Manuals, Student Athlete Handbook, NCAA Compliance notebooks, and player’s notebooks on an annual basis. Prepare and distribute and organize all athletic contracts for each home game and in every sport.
Knowledge equivalent to an Associate’s degree in Business or a related field, plus 18 to 24 months of effective experience. Must be available to work nights and weekends as needed. Candidates must be willing to support the Catholic Dominican, liberal arts mission of the University.
