Position Summary:

The Assistant Director of Athletics for Compliance & Student Success reports to the Executive Director of Intercollegiate Athletics and works in support of the goals and operations of the department. This position is a senior leader for Intercollegiate Athletics and sits on the Executive Committee of the department. It requires knowledge of the collegiate academic environment to ensure that Cal Poly Humboldt Intercollegiate Athletics complies with NCAA rules and delivers necessary academic support to its student-athletes. It also involves select sport-oversight responsibilities and may be asked to provide oversight to other matters pertaining to the operational needs of Intercollegiate Athletics.

Key Responsibilities:

Manages and administers all athletics department activity for NCAA rules compliance.

• Ensure that Intercollegiate Athletics is compliant with all NCAA, CCAA, and Cal Poly Humboldt rules and regulations by proactively designing, implementing and coordinating all athletics compliance procedures and processes according to the NCAA's applicable guidelines, requirements and best practices.
• Serve as the superuser for Teamwork’s compliance software, ensuring all appropriate operations are managed through the software to allow for compliance tracking.
• Responsible for managing and ensuring the accuracy of appropriate data management systems, including teamwork’s software, PeopleSoft, and all other utilized platforms.
• Responsible for advising executive leadership of rules, regulations and changes and for providing strategic planning and implementation to ensure department compliance.
• Administer eligibility certifications processes.

Oversight of Recruiting and Financial Aid

• Administers all athletics aid policies and procedures, including Grant-In Aid awards, National Letter of Intent signing, budget/equivalency tracking and summer scholarships with coaching staffs and Financial Aid office.
• Monitor all recruiting activities to ensure compliance with NCAA regulations.

Compliance Knowledge and Department Education

• Develop, implement, and conduct a comprehensive NCAA Rules Educations Program annually for all athletics department staff, current student-athletes, prospective student-athletes and other constituents such as Humboldt faculty and staff, representatives of athletics interest, boosters and high schools.
• Responsible for and have expert knowledge of federal, NCAA, conference and institutions rules and regulations which require the employee to keep abreast of any updates or changes affecting Intercollegiate Athletics compliance with NCAA rules, Title IX, FERPA, and HIPAA.

Academic Support

• Administer oversight of the academic services team who oversees academic progress, course registration and academic advising of student athletes.
• Administer oversight of the counseling, advising and tutorial services provided to student-athletes, and act as liaison with the Learning Center.
• Ensure the academic progress of student athletes is monitored and academic advisors are working with student-athletes to keep them on track to meet all progress towards degree requirements and graduate.
• Ensure counseling, advising and tutorial services for student athletes are being utilized, and act as a liaison between coaches, Enrollment Services, faculty, and the faculty representative for athletics.
• Provide in-department support for Athletics Advising personnel, who oversee academic progress, course registration and academic advising of student-athletes, but who report within the Advising Department.
• In some instances, represent the Executive Director of Intercollegiate Athletics in their absence at special events or as a part of campus committees and/or task forces.

Manage all compliance reporting requirements, NCAA communications, and Management of NCAA Violations

• Responsible for creating and completing Humboldt, conference, and NCAA reports, including but not limited to, Academic Performance Census, ASR/GSR, Sports Sponsorship, and EADA and to be shared with internal and external stakeholders.
• Act as the institutional liaison with the Eligibility Center to coordinate initial eligibility processing and ensure all required tasks are taken
• Report all suspected violations to the Executive Director of Intercollegiate Athletics and/or the Faculty Athletics Representative (FAR) within 24 hours notification of the issue.
• Report all NCAA rules violations through campus/conference reporting structures, including conducting the investigation if needed.

Campus Liaison

• Serve as the campus liaison with housing, financial aid, registrar, and admissions departments.
• Support various departments in ensuring continuity of work and support for athletics.

Knowledge, Skills, and Abilities Associated with this Position Include:

• Ability to work independently with a high level of individual responsibility.
• Demonstrated problem-solving skills and the ability to facilitate conflict resolution with coworkers and others.
• Proficient knowledge of NCAA rules and regulations.
• Ability to use database software and/or on-line compliance software applications.
• Thorough knowledge of and ability to apply expertise to complex programs and/or administrative specialties, including pertinent laws and regulations.
• Ability to understand problems from a broad, interactive perspective and discern applicable underlying principles to conceive of and develop solutions.
• Ability to work with representatives from public and private entities and handle potentially sensitive solutions.
• Demonstrated consultative skills in working with internal and/or external constituent groups.
• Professional experience working with a diverse population.
• Ability to effectively present ideas and concepts in written or presentation format and use consultative and facilitation skills to gain consensus.
• An understanding of the dynamics of diversity in higher education, sensitivity to cross-cultural perspectives and experiences, with the ability to establish and maintain working relationships with staff, students, coaches and faculty from diverse backgrounds and a demonstrated ability to incorporate this understanding, as appropriate, in all levels of work.

Minimum Qualifications:

General knowledge and skills in NCAA compliance policies, regulations, and requirements, with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree OR through a combination of education and work experience which provides the knowledge, skills, and abilities required for this position-- primarily the ability to perform the full range of work related to the program and policy research, analysis, development, evaluation, and/or operational and fiscal analysis related to NCAA compliance.

Preferred Qualifications:

• Experience using ARMS compliance software and the NCAA CAi and Eligibility Center.
• Experience performing NCAA compliance duties
• Experience investigating compliance cases and writing summaries of proposed outcomes.
• Experience working with sensitive academic and medical student records
• Experience interpreting and communicating compliance-related procedures, policies, information and ideas
• Bachelor's Degree
