Job Summary:
The Assistant Director for Athletics Business Operations is a leadership position within the Athletics Business Office that will provide financial, accounting and operational support to the Athletic Department.
Job Description:
Primary Duties and Responsibilities:
Work with select executive staff, head coaches, and other appropriate staff members regarding their budgetary expenditures.
Assist in the preparation and execution of strategic financial planning including the annual operating budget, the five-year operating budget plan, and the three-year capital plan.
Prepare, monitor, and reconcile monthly, quarterly, and yearly financial reports for the executive staff, head coaches, and departments for current fiscal year financial position and projected fiscal year-end position.
Provide budget training for executive staff, head coaches, and other appropriate staff members.
Assures all fiscal activities are conducted in compliance with Federal, State, Conference, Institutional and NCAA laws and regulations including PCI compliance, cash handling policies, proper business transactions, and the maintenance of the highest level of confidence in regards to the various confidential information that the business staff is exposed to in regards to financial data.
Provide financial data to the Southern Conference and NCAA as required
Assist with the Report of Uses, EADA, NCAA Financial reporting process and the external auditor review of the agreed-upon procedures.
Verify and approve Workday financial processes including requisitions, expense reports, procurement card transactions, spend authorizations and supplier invoices, among others, ensuring University controls and processes are followed.
Assists and/or leads special projects and departmental operations as directed by Chief of Staff in tandem with any Executive Staff members with high degree of autonomy.
Maintain and update Athletic Business Office policies and procedures manual. Recommend improvements to policies and procedures where necessary.
Prepares and delivers cash sale deposits for processing and initiates supplier invoice request for department.
Manages the Athletics Department’s courtesy car program; temporary use vehicle changes and insurance requirements.
Serve as Supervising Manager for 3+ Athletic Department Employees
Review and manage process flow of all departmental contracts.
Assist with new athletics employees onboarding process.
Serve as an internal liaison with the Financial Services Team and facilitate requests as needed.
Maintain internal control and safeguards and develop and document business processes and accounting policies to maintain the strength of internal fiscal controls.
Responsible for maintaining compliance with NCAA, Southern Conference, institutional and departmental rules.

Qualifications:
Bachelor's degree, preferred but not required in Business Administration, Finance, Accounting, or related field;
3 years of business or data operations or relevant experience;
Collegiate athletic experience;
Knowledge of NCAA rules;
Supervisory experience
