Caldwell University invites applications for a full-time Assistant Athletic Director for Academics and Student Athlete Advisor. Reporting directly to the Assistant Vice President/Director of Athletics with a dotted line to the Assistant Vice President for Academic Support Services. The position is responsible for assisting with the administration of all aspects of Caldwell University’s NCAA Compliance/ Student-Athlete advising and other responsibilities included but are not limited to; advising, programming, retention efforts, registration, and data reporting. Job duties include, but are not limited to:
Monitor student-athlete academic progress through daily contact with the University’s Retention Specialist, meetings with the students-athletes, and progress report data. Provide outreach to student-athletes who obtained a D or F as a midterm grade, create intervention plans, and provide the Athletic Department with regular updates on the progress of the student-athletes. Keep supervisors, coaches and athletic administrators informed of student progress. Coordinate with advising team through weekly meetings and daily communications to ensure academic standing and athletic eligibility of student-athletes.
Academically counsel student-athletes, monitor their progress towards a degree, and NCAA academic eligibility as outlined by institutional requirements and NCAA legislation.
Provide reports on academic retention, midterm and final grades, progress toward degree, graduation rates to Assistant Vice President/Director of Athletics, the Compliance and Athlete staff and Assistant Vice President for Academic Support Services.
Meet with all student-athletes for course registration (check games/class schedule conflicts) and other advising concerns.
Emailing and communicating with each professor at the start of every semester with their list of student-athletes and establish themselves as the point of contact for academic concerns. Create, distribute, and collect conflict letters for all teams. Including communication with professors about game changes throughout the semester.
Assist with creating incoming student-athletes class schedules during the summer and winter. Meet with incoming freshmen student athletes during orientation to ensure they are aware of academic requirements.
Assist in tracking admissions and initial NCAA eligibility status of incoming prospective student-athletes. Complete preliminary transcript evaluation.
Assist with collecting and compiling required departmental and NCAA eligibility forms as well as all required forms for official/unofficial visits, promotional activities, outside competition and NLI requests.
Assist in maintaining NCAA squad lists, team practice schedules, and countable athletically related activities for all teams.
Manage the athletic scholarship program. Work with coaches through the admissions process. Work with the AVP, Athletics to approve scholarships and help facilitate the signing process. Serve as the liaison between coaches and admissions, financial aid and other campus departments.
Coordinate and monitor the Athletic Department Cougar Enrichment Program. Monitor attendance, prepare study hall reports for coaches and maintain advising files.
Assist with coordinating educational sessions for student-athlete welfare programming including, but not limited to; student-athlete orientation, alcohol education, managing stress and time, career preparation, etiquette training, financial literacy, nutrition, etc.
Assist with developing and maintaining a comprehensive compliance program with rules education for student-athletes, coaches, and administrators.
Complete NCAA reports including Academic Performance Census and Graduation Rates Report.
Serve as the primary person in charge of the integration, onboarding and continuing usage of the Teamworks: Compliance + Recruiting Program

Facilitate student athlete applications for NCAA and CACC scholarships, grants and student-athlete development programming.
Serve as the advisor for the Student-Athlete Mentor Program, organizing programming for first-year student-athletes in coordination with the Mentors.
Master’s degree in a related field plus one to two years of effective experience is required. Knowledge of NCAA Policies, Procedures and Eligibility Requirements.
