Duties & Responsibilities:

The Athletics and Veterans Certifications Coordinator for the Office of Financial Aid and Scholarships (OFAS) is responsible for overseeing all activities of coordinating student athletic financial aid awards. The position will also be responsible for certifying, processing, and reconciling awards for students that are eligible to participate in the Virginia Military Survivors and Dependents Education Program (VMSDEP). The person will serve as a liaison with VCU Athletics Compliance, Military Student Services, the Virginia Department of Veterans Affairs (DVS), the State Council of Higher Education for Virginia (SCHEV), and other VCU departments or external entities as deemed necessary. 

Duties of the Coordinator include calculating the cost of attendance (COA) for student athletes, post athletic grant-in-aid awards to ensure that individual and team awards limits are not exceeded, review financial aid packages to ensure federal, state, institutional, and NCAA regulations are in compliance, complete and update squad lists on a regular basis using NCAA Compliance Assistant software, notify Athletics Compliance of any changes in student athlete eligibility status, and serve in an ex officio capacity for student athlete hearings involving aid non-renewals, cancellations, and reductions of aid. The coordinator will serve as a note taker for hearings and answer questions as related to policies and procedures.

• Review financial aid packages to ensure federal, state, institutional, and NCAA regulations are in compliance.
• Complete and update squad lists on a regular basis using NCAA Compliance Assistant software. Notify athletics of any changes in student athlete eligibility status.
• Serve as an ex officio capacity for Student Athlete hearings involving aid non-renewals, cancellations, and reductions of aid. Serve in role as note taker for hearings and answer questions as related to policies and procedures.
• Actively reviews and maintains subject matter expert level knowledge of NCAA Bylaw 15 (Financial Aid) and other Bylaws impacting financial aid eligibility including academic eligibility and name, image, and likeness.
• Responsible for maintaining procedures regarding the administration of NCAA/Athletic Financial Aid Grants

Administer all aspects of the Virginia Military Survivor and Dependent Education Program (35%):

• Monitors the VMSDEP inbox within the department, responding to all inquiries in a timely, collegial, and professional manner, reviews internal operational requests from staff related to VMSDEP eligibility and benefit status.
• Utilize the VMSDEP Dashboard and Banner for the review of VMSDEP benefit eligibility, including the calculation of tuition and mandatory fees for the waiver amount, providing consistent feedback to supervisor and financial aid systems team where improvements or dashboard refreshes are necessary.
• Process benefit certifications using the DVS delivered portal, reconciling the awarded records in Banner with DVS, and with SCHEV to ensure there are no mismatches, ultimately contributing to critical reporting including the SCHEV Financial Aid Data File and S1S2 Report.
• Responsible for the review, certification, and submission of SCHEV roster for VMSDEP Stipend award. Will post and reconcile approved awards to the student’s financial aid record.
• Ensure accurate and timely processing
• Responsible for maintaining procedures regarding the administration of VMSDEP

Completes department reports (20%):

• Reviews and processes Refund Exception Report, Overaward Report, Disbursement Error Report, aggregate loan history, unusual enrollment history, packaging reports, and other reports impacting Title IV eligibility
• Completes requests and reports from DVS and SCHEV to fulfill department reporting and compliance obligations.
• Ensures that financial aid adjustments are made in a timely manner when there is a duplication of benefits when identified

Other duties as assigned (10%):

• Actively participates in various department or university workgroups or committees
• Cultivates and maintains professional relationships with VCU Athletics Compliance and Military Student Services
• Participates in internal or external audits as requested, including but limited to those initiated by the VCU Board of Visitors, the Department of Veterans Affairs, JLARC, and APA.
• Stays abreast of regulations and best practices through training and workshops, including but not limited to opportunities presented by NASFAA, VASFAA, VASCO, SCHEV, DVS, and the NCAA. When funds are available, will represent the department at the annual NCAA Regional Rules Conference. Responsible for providing timely updates to the assistant director and OFAS leadership team.

Qualifications:

Minimum Qualifications

• Bachelor’s degree from an accredited institution or equivalent combination of education, training, and experience
• Knowledge of federal, state, and institutional financial aid regulations
• Strong organizational, analytical, planning, and communication skills
• Experience working with NCAA and federal financial aid programs
• Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Preferred Qualifications

• Master’s degree from an accredited institution
• Processing experience with Ellucian Banner Financial Aid, NCAA Compliance Assistant, and state financial aid reporting portals

Other Position Details :

• This position has on-campus responsibilities and expectations, and is eligible for a hybrid schedule consisting of 60% on-campus and 40% remote.

Salary Range: Up to $54,806
