Departmental Overview
The Department of Intercollegiate Athletics consists of more than 275 staff members and coaches and sponsors 30 varsity sports programs.
These 30 programs include more than 850 student-athletes who participate in the various sports programs annually within the National Collegiate Athletics Association (NCAA).
We are currently seeking a motivated intern who will work in the Cal Athletics Travel Department.
The intern will assist the Cal Athletic Business Office, supporting all aspects of Intercollegiate Athletic business operations. This position will be involved in developing, promoting and supporting the operational and strategic aspects of intercollegiate athletic travel, including but not limited to:
Athletic Travel: Liaise between sport coaches and Travel Coordinators to manage arrangements for team travel, including but not limited to hotel arrangements, ground transfer, practice facility approval, game credentials, itineraries, practice times, meals, etc. This includes travel for coaches, teams, recruits and officials.
Procurement: Assist with review and processing of all Athletics procurement requests, the review of travel and entertainment reimbursements, the reconciliation of the department corporate card, and other general administrative duties.
Budget Management: Learn about and help to enforce cost containment strategies, aid coaches and staff in maintaining their operating budgets. Provide assistance in servicing and processing of a variety of operational and financial transactions including, accounts payable, reconciliation, data collection, analysis, review and control, customer servicing, cashiering, accounts receivable, and reporting.
HR and Payroll: Assist in transactional functions of HR and Payroll, including submitting updates to employee records, monitoring Payroll, and coordinating hires and separations, and help Athletics staff navigate University HR processes.
Revenue Accounting: Aid in streamlining the deposit process and assist with reconciliations of department revenues.
This position will provide individuals with significant learning experience through a wide range of Business functions. The intern will learn, develop and help enforce cost containment strategies, aid coaches and units in tracking budgets, and reconciling expenses and invoices associated with athletic operations.

Responsibilities
Review Athletics’ procurement requests – confirms all requisition information is accurate, complete and complies with policy and funding requirements. Submits to Campus, and follow up to answer questions and get additional information if needed.
Review Athletics’ travel and entertainment reimbursement requests for completion and policy violations - verify receipts, obtain necessary signatures, and follow up to obtain additional information, if needed.
Aid in monthly reconciliation processes, including reviewing all transactions, verifying receipts submissions, obtaining any additional documentation or approvals, and conducting follow-up as needed.
Maintain accurate records/files of reimbursement requests, corporate card receipts and purchase requests.
Prepares reports and analyses which include summaries of financial transactions, budget reports, contracts, etc. to be used for management review and decision-making.
Serve as the Business Office liaison with corporate sponsors and outside vendors.
Assists with year-end and month-end reconciliation, tracking year-end expenses and revenues.
Assists with year-end audits.
Support 3 full-time Travel Agents with securing travel arrangements for the Athletic Department. This includes team travel (30 Intercollegiate teams), recruiting (100 coaches traveling year-round, throughout the world), visiting prospective student athletes, staff and local travel.
Maintain detailed files on a per-sport, per-trip basis and follow up with vendors to ensure payment s are made in a timely fashion.
Update various IA department systems and electronic filing mechanisms in order to track trips, hotel reservations, flight itineraries, confirmations, etc.
Complete post-season reimbursement paperwork for conference and NCAA championship expenses.
Required Qualifications
A strong desire to pursue a career in the field of athletic administration and/or finance.
Excellent computer skills.
Must be proficient in use of Microsoft Office Suite and common desktop/web applications.
Strong interpersonal skills, analytical skills, service orientation, active listening, critical thinking, attention to detail, effective verbal and written communication skills.
Self-motivated to work effectively and efficiently with the ability to multi-task, remain organized, and think critically.
Ability to problem solve, handle and prioritize a heavy workload, and perform under pressure.
High level of confidentiality.
Ability to maintain current knowledge of applicable rules and standards of the National Collegiate Athletic Association (NCAA). This position will be expected to perform all duties and responsibilities in compliance with NCAA, Conference, and University rules.
Preferred Qualifications
Working knowledge of financial processes, policies, and procedures.
Experience in an Intercollegiate Athletics environment.
Customer Service experience.
Education/Training:
Completed Bachelor’s degree with interest in pursuing advanced degree in Sport Administration and/or equivalent experience/training.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
The budgeted hourly range that the University reasonably expects to pay for this position is $20.00.
This is a 12-month, 100%, full-time (40 hours per week), contract position that is eligible for full UC benefits with the possibility of extension.
This position is non-exempt and bi-weekly.
