Position Overview:
The Coordinator of Tickets and Engagement plays a critical role in enhancing the fan experience while supporting the development and growth of Tennessee State Athletics’ donor base. This position is responsible for managing ticketing operations for season ticket holders, general fans, and annual fund donors, while also developing and implementing strategies for donor engagement and stewardship. Working closely with the development and marketing teams, the coordinator will create a seamless integration between ticketing, fan engagement, and donor relations to drive attendance, foster donor loyalty, and increase annual fund contributions.
Key Responsibilities:
Ticket Operations and Sales:
Oversee the sales, distribution, and fulfillment of tickets for season ticket holders, annual fund donors, and general fans, ensuring smooth operations for all athletic events.
Manage ticketing for donor-specific events, including premium seating, hospitality areas, and exclusive access opportunities.
Coordinate annual fund donor ticket allocations and assist with donor recognition through personalized ticketing and event experiences.
Ensure that donors receive timely, accurate information regarding ticket benefits and event access.
Oversee day-of-event ticketing, including will-call, box office, and in-game ticket scanning, with a focus on exceptional service for annual fund donors and
VIP
guests.
Donor Engagement and Stewardship:
Develop and execute engagement initiatives to cultivate relationships with annual fund donors and prospective supporters, using ticketing and event experiences as tools for donor retention.
Collaborate with the development team to create customized stewardship experiences for donors, including exclusive events, meet-and-greets with student-athletes, and behind-the-scenes access.
Serve as the primary point of contact for annual fund donors with questions related to tickets, events, and benefits, ensuring a high level of personalized service.
Coordinate donor recognition efforts, such as acknowledging contributions through special game-day experiences, signage, and public recognition.
Fan Engagement and Promotions:
Develop and implement strategies to drive fan attendance and engagement, focusing on creating a vibrant and loyal fan base through targeted promotions and initiatives.
Work closely with marketing and communications teams to design fan engagement campaigns, including special ticket offers, giveaways, and fan experience enhancements.
Implement programs to enhance fan loyalty, including fan clubs, membership programs, and season ticket holder benefits.
Manage fan engagement touchpoints, including social media, email communications, and in-person interactions, to ensure fans feel valued and connected to the athletics program.
Collaboration with Athletics and Development Teams:
Partner with the development team to align ticketing and donor engagement efforts with the broader fundraising strategy, ensuring that donors feel appreciated and valued.
Assist with the planning and execution of fundraising events, including donor receptions, game-day tailgates, and
VIP
donor hospitality.
Collaborate with event management to ensure a smooth integration of ticketing, donor experiences, and fan engagement during special events and home games.
Reporting and Analysis:
Track ticket sales and donor engagement data to measure success and identify opportunities for growth.
Provide regular updates to leadership on ticket revenue, donor satisfaction, and fan engagement initiatives.
Analyze trends in ticket sales and donor participation to inform future strategies and improve service offerings.
Game Day Operations:
Oversee game-day ticketing and donor-related operations, ensuring that donor benefits and experiences are delivered seamlessly.
Manage in-game ticketing processes, including premium seating areas, hospitality zones, and donor-specific activations, ensuring a positive experience for all attendees.
Bachelor’s degree in Sports Management, Marketing, Business Administration, or a related field.
Previous experience in ticketing, customer service, or donor relations, preferably within a collegiate or professional sports environment.
Strong understanding of donor stewardship and engagement principles, with experience working with annual fund donors or similar fundraising initiatives.
Excellent communication and interpersonal skills, with the ability to build relationships with donors, fans, and internal stakeholders.
Ability to work in a fast-paced environment and manage multiple tasks simultaneously while maintaining a high level of attention to detail.
Proficient in Microsoft Office Suite and ticketing software (e.g., Ticketmaster, Paciolian, Seat Geek, or similar systems).
Passion for sports and a commitment to enhancing the fan and donor experience.
Preferred Qualifications:
Experience working with donor management or
CRM
systems (e.g., Raiser’s Edge, Salesforce).
Familiarity with fundraising strategies and campaign execution within a sports setting.
Background in marketing, event management, or communications, particularly within athletics or non-profit sectors.
Physical Requirements:
Ability to stand for extended periods during events and assist with the physical setup of ticketing areas and donor-related activities.
Occasional lifting of materials and equipment (up to 25 pounds).
Working Conditions:
This position may require flexibility in work hours, including evenings, weekends, and holidays, to support athletic events, fundraising activities, and donor engagement efforts.
This role combines ticketing operations with a focus on donor engagement, ensuring that both fans and annual fund supporters have a positive, rewarding experience while driving loyalty and contributing to the overall success of the athletics program.
