Director of Athletics Advancement – Stewardship & Events- Athletics

The Director of Athletics Advancement—Stewardship & Events is a key member of the Hampton University Athletics Advancement team. This role is responsible for planning, executing, and evaluating stewardship initiatives and special events that enhance donor engagement, alumni relations, and philanthropic support for Hampton Athletics. This role reports to the Senior Associate Athletic Director for Advancement and works collaboratively across the department to ensure high-quality experiences for donors, alumni, and friends of Hampton University Athletics.
Job Duties:
Plan, manage, and execute a comprehensive calendar of stewardship activities and special events, including donor recognition programs, hospitality functions, fundraising galas, and alumni engagement events.
Serve as the primary liaison for event logistics, overseeing invitations, catering, RSVPs, venue setup, and all communications with attendees.
Collaborate with Athletics Advancement colleagues to ensure consistent, personalized stewardship for all levels of donors, including timely acknowledgments, impact reporting, and recognition opportunities.
Track and analyze event metrics (attendance, feedback, expenses) to assess effectiveness, measure return on investment, and recommend improvements for future events.
Develop and manage event budgets, ensuring cost-effective use of resources and compliance with university policies.
Coordinate with marketing and communications teams to promote events and stewardship initiatives through digital, social, and print channels.
Provide on-site support for events, including evenings and weekends as required.
Maintain accurate records of donor interactions, event attendance, and stewardship activities in the university’s donor management system.
Support the Athletics Advancement team in cultivating relationships with key alumni, donors, and community stakeholders.

Qualifications:
Bachelor’s degree in a relevant field (e.g., Sports Management, Communications, Marketing, Business Administration).
Minimum of 3 years of professional experience in event planning, stewardship, alumni relations, or advancement, preferably in a collegiate athletics or higher education setting.
Demonstrated ability to manage multiple projects simultaneously, meet deadlines, and adapt to changing priorities.
-Preferred Qualifications:
Experience working in athletics advancement, fundraising, or donor stewardship.
Knowledge of NCAA rules and regulations.
Familiarity with event marketing, digital communications, and social media promotion.
Experience collaborating with coaches, student-athletes, and university leadership.
Requirements:
Excellent written and verbal communication skills, with strong attention to detail and customer service orientation.
Proficiency with Microsoft Office Suite and familiarity with donor management or CRM software.
Ability to exercise sound judgment and handle confidential information with discretion.
Willingness to work evenings, weekends, and occasional travel as needed.
Highly motivated, professional team player with strong interpersonal skills.
Exceptional organizational skills and meticulous attention to detail.
Ability to work independently and take initiative.
