Reporting to the Director of University Events, the Event Coordinator provides onsite supervision to ensure the successful execution of internal and external events; assists with all related administrative functions; and serves as liaison between the university, Athletics Division and clients.
Required Qualifications
High school diploma and five years of experience, associate’s degree and three years of experience, or bachelor’s degree and one year of experience working with external clients to coordinate sporting and other special events.
Preferred Qualifications
Bachelor’s degree.
Relevant experience at an institution of higher education, athletic department, arena or performing arts center.
Proficiency with Microsoft Office.

Job Summary
Provides onsite supervision and exceptional customer service for internal and external events, including athletic events, concerts, speaking engagements, galas, conferences and others, as assigned.
Serves as liaison between the university, Athletics Department and clients.
Stays current on the status of assigned events.
Coordinates (and contracts for) meeting space, audio-visual equipment and food service and makes reservations for lodging.
Assists the Office of University Events with scheduling, planning and executing non-assigned events, as needed.
Helps create and produce marketing/promotional materials.
Works with the Director to ensure the department meets its annual goals.
Assists with proposals, client presentations, invoicing, refunds and facility evaluations.
Conducts site tours for prospective clients.
Communicates with clients to ensure they follow relevant local, university, state and federal regulations and policies, submit proper insurance, IRS documentation and other necessary paperwork, and meet deadlines.
Assists in implementing the City of Rock Hill and university memorandum of understanding related to events.
Serves as the initial point of contact and monitors the Office of University Events email and voicemail.
Travel/Overtime Requirements
Must be able to work flexible hours, including evenings and weekends.
