University Special Events
is a unit within University Communications whose primary function is to plan and manage events hosted by senior leadership of the university. At its core, the team is responsible for linking live communications events and special activities to the strategic priorities of the university. Activities include directing donor centric experiences, coordinating multi-unit event projects, managing board and leadership events, and creating opportunities to expand brand awareness.

invites thousands of donors, dignitaries, elected officials, media, alumni, members of the community, faculty, staff, students and parents to activities that highlight the excellence and innovation that are hallmarks of NC State University programs, faculty and students.
The Events Producer for University Special Events will assist with the management of events of considerable scope and complexity, requiring previous knowledge of event planning and the associated University processes and procedures. This position will serve as the primary planner for the Chancellor’s athletic entertainment along with other events as assigned.
Responsibilities include but are not limited to:
Create and plan engaging and memorable experiences for high-level donors at athletic events.
Coordinate with athletic department staff to align engagement opportunities with sporting events.
Draft and send personalized invitations to high-level donors.
Maintain a detailed
RSVP
list and follow up with invitees as necessary.
Coordinate with the university’s database to ensure accurate contact information.
Arrange for guest seating, parking, and special requests as appropriate.
Work closely with the athletic department, development office, and other relevant departments.
Ensure all departments are informed of event plans and donor expectations.
Collaborate with marketing and communications teams to ensure branding of all event messaging and materials.
Ensure all event logistics are meticulously planned and executed.
Welcome and greet high-level donors, ensuring their needs are met throughout the event.
Troubleshoot any issues that arise during the event to ensure donor satisfaction.
Gather feedback from donors to improve future events.
Provide detailed reports on event outcomes and donor engagement to senior management.
Willingness to travel as requested, and attend evening and weekend events.
Qualifications
| Minimum Experience/Education |
Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

| Preferred Qualifications |
- Experience working in a higher education institution or non-profit.
- Experience in a university setting–collaborating with multiple partners and vendors to execute events.
- Experience with branding, marketing, and/or fundraising.
