Job Description

Description: Reporting to the Vice President for Athletics, the Executive Assistant (EA) oversees the operations of the athletics administration office, including workflow, calendaring, drafting and editing correspondence, handling expense reports, and liaising with athletic staff, head coaches, and other key stakeholders on campus to ensure the smooth operation of the athletic administration office.

Minimum Qualifications: Experience: Minimum of 3-5 years or commensurate experience in administrative work. Education: A bachelor’s degree from an accredited four-year college/university is required. Communication Skills: Excellent written and verbal communication skills. Leadership Skills: Advanced discernment and decision-making skills; ability to navigate interaction with constituents in a calm and helpful manner. Computer Skills: Proficient knowledge of Microsoft Office applications specifically Teams, Excel, and Outlook. Level of Independence: Elevated level of ability to work independently and able to prioritize the work. Physical Exertion Requirements: Light lifting, and able to move about the campus freely and often. Schedule Flexibility: Be able to work some evenings and weekends as needed. Driving History: Driving a university vehicle is not a requirement of this position, but an examination of driving history is required. Procedures Commitment: The candidate must adhere to all King University policies as detailed for all employees in the Employee Handbook or specifically NCAA bylaws and regulations.

Responsibilities: Provide professional operational administrative support to the Vice President for Athletics and the Athletic Administration Office. Manages workflow of department projects, events, facility needs. Facilitates all necessary correspondence related to the Vice President for Athletics’ office by drafting, editing, sending/phoning responses. Manages all travel details for the Vice President for Athletics and provides detailed itineraries and maintains current files for all travel documents/receipts necessary. Assists in preparing for recurring meetings between the Vice President for Athletics and athletic staff, athletic leadership team, and one-on-ones. Responsible for the purchasing of office supplies, managing office expenditure and budgets, and processing P-card statements and reimbursements each month. Monitors the Vice President for Athletics’ email inbox daily and forwards relevant mail to the Assistant Athletic Director/SWA, Compliance Director, Director of Sports Medicine, and/or Director of Athletics Communication. Must be able to manage confidential and sensitive information ethically and wisely. Works collaboratively with campus and community partners to ensure all activities associated with the Vice President for Athletics’ office are executed in an effective, efficient, and professional manner. Exhibits a spirit of hospitality by serving as a warm and welcoming presence for all who enter the Athletic Administration Office.
