Position Summary
The NCAA Compliance Director organizes and administers the Athletics Department’s National Collegiate Athletic Association (NCAA) compliance program. The Director certifies eligibility and processes financial aid for student-athletes, monitors coaches’ activities relative to rule compliance, and interacts with departmental staff members and coaches to ensure compliance with NCAA rules and regulations.
The NCAA Compliance Director is also responsible for educational, monitoring, and investigating components and other areas that ensure good standing and adherence to NCAA, Pacific West Conference, and University policies and procedures.
The NCAA Compliance Director must be familiar with and adhere to NCAA rules and regulations and strongly commit to Chaminade University, the Pacific West Conference, and NCAA Division II rules pertaining to institutional control and compliance.

Essential Duties and Responsibilities
NCAA Compliance (60% of work time)
Ensures that all student-athletes (including transfer students) are eligible to participate in intercollegiate athletics programs by working with the National Collegiate Athletic Association (NCAA) Clearinghouse in processing the eligibility requirements of freshmen student-athletes and junior college transfers and processing and certifying the continuing eligibility of current student-athletes.
Ensures that the University’s athletics programs are in compliance with NCAA rules and regulations governing financial aid to student-athletes by working cooperatively with the Director of Financial Aid in monitoring all financial aid awarded to student-athletes, including initial athletically-related aid and renewable athletically-related aid, as well as income from additional sources of countable aid, work-study, jobs, grants, and loans.
Coordinates the education of prospective student-athletes, enrolled student-athletes, coaches, college personnel, and representatives of athletics interests with regard to NCAA, conference, and institutional rules.
Ensures that the University’s athletics programs are in compliance with NCAA rules and regulations governing recruiting, amateurism, awards, and benefits, playing and practice seasons, and sports camps and clinics by developing and conducting NCCA rules education sessions for coaches, student-athletes, alumni, and athletics boosters to encourage broad-based knowledge of NCAA rules and regulations, and monitoring the compliance.
Reduces the likelihood of a violation of NCAA rules and regulations governing Booster/Donor and sponsor involvement with intercollegiate athletics programs by educating the boosters, donors and sponsors, leadership, and general membership about NCAA rules and regulations governing such activities, monitoring the Booster Clubs’ involvement, and producing a compliance brochure for boosters.
Provides relevant compliance information and updates as needed regarding NCAA and Pacific West Conference (PWC) rules to Athletics staff as well as staff outside Athletics in departments such as Admissions, Financial Aid, and the Registrar whose responsibilities include dealing with student-athletes and/or Athletics Department personnel in matters governed by NCAA and or PWC rules, regulations, and policies.
Identifies potential NCAA rule violations and reports them to the President and Faculty Athletics Representative (FAR).
Coordinates investigation of known and/or alleged rules violations, keeps the Director of Athletics informed of all alleged and known violations, and handles all correspondence with the NCAA and affiliated conferences regarding rules violations and follow-up responses.
Coordinates all NCAA appeals.
Ensures compliance with intercollegiate athletics program reporting requirements by assuming responsibility for filing all NCAA certification forms, squad list forms, drug consent forms, student-athlete statements, annual NCAA disclosure study, and other related forms as required by NCAA and all affiliated conferences.
Serves as department liaison with the NCAA Eligibility Center.
Monitors employment of student-athletes according to NCAA Bylaws.
Monitors permissible recruiting materials in accordance with NCAA Bylaws.
Monitors compliance with NCAA Bylaws regarding complimentary admissions to athletics events.
Oversees compliance with NCAA Bylaws regarding summer camps.
Maintains the compliance policy and procedures manual, the camps and clinics manual, and the Student-Athlete Handbook.
Facilitates monthly continuing education training sessions for coaches and department staff.
Administration (20 % of work time)
Be proficient in using Teamworks, especially in Academic and Compliance modules.
Review coaches’ declaration of playing, practice seasons, and contest schedules.
Conduct team orientation before each sports playing season.
Serves as a liaison with Title IX Coordinator, Athletics, Admissions, Financial Aid, Registrar, and FAR.
Coordinates student-athlete initial and continuing eligibility certification with the FAR and Registrar.
Monitors financial aid limits offered based on team budgets.
Monitors outside scholarships with Financial Aid.
Coordinates the initial and annual renewal, reduction, cancelation, or non-renewal of athletic grants-in-aid with Financial Aid.
Maintains participation records and determines seasons of competition utilized by student-athletes.
Reviews, audits, and files monthly practice/competition logs.
Reviews summer regulations regarding athletics participation, camps, and employment for coaches and student-athletes.
Review and audit off-campus recruiting contact and evaluation requests.
Review academic transcripts and test scores to approve official visit requests.
Monitors the number of official visits provided in all sports.
Secures the release of potential transfer students and facilitates the release of student-athletes seeking to transfer in consultation with the Head Coach and Athletics Director.
Coordinates the Institutional Letter of Intent program for athletes. Coordinates the release of Institutional Letter of Intent signees with Sports Information, Financial Aid, and Admissions.
Oversees all NCAA reports and works with the database reporter, business office, Director of Athletics, and others needed to complete the reports.
Submits an annual update to the President, the Director of Athletics, and the Vice President of Student Affairs regarding progress in areas of the university Compliance Review Blueprint
Other Duties (20 % of work time)
Serves as a member of the Title IX Team.
Serves as a member of Committee as appointed by the Director of Athletics
If applicable and qualified, serves as the NCAA’s designated Senior Women’s Administrator (SWA) for the university.
Assists with game management responsibilities at hosted athletic events on a rotation basis with other administrators
Performs other duties as assigned

Education and Experience
Minimum
Bachelor’s degree from accredited institution
Three years experience in the area of NCAA Athletic compliance
Interscholastic and community recreation management experience may be taken into consideration.
Preferred
Masters, Earned Doctorate, or Juris Doctorate

Experience using Microsoft Office (Word, Excel, Powerpoint, etc) and ability to learn specific sports and academic/university-related computer programs, including Teamworks.

Must pass the Chaminade University Driver’s van test to transport teams and Individuals and be cleared to approved to perform the task.
Physical Requirements
Duties involve light work in an office and community setting and requires a minimum of physical effort with intermittent sitting, standing, climbing stairs, and walking inclines. Must be able to lift 20 pounds, walk the campus with ease, and have excellent motor skills. Must have finger dexterity. Must be able to communicate information and ideas so that others will understand.
Other Requirements
This is a full time, exempt position. Forty hours per week (M-F) will be the general rule. However, depending on the project cycles and workflow demands of the department, additional hours or workday schedule changes may be occasionally required. Must be willing and able to work occasional nights and weekends and have a varying schedule when required
