Position Description

Reporting to the Associate Registrar, Academic Programs, this role serves as the Athletics Student Certifying Official (SCO); an academic policy and degree requirements resource for faculty and students regarding all undergraduate and graduate degrees, specializations, certificates, and minors; is the main Office of the Registrar contact for all professional and faculty academic advisors throughout the University; and is the official graduation evaluator and program-related forms processor for all of the student body.

This position is designated to support the Workday planning and implementation team by assisting with operational responsibilities, allowing project team members to focus on project-related activities. Please note that this position is tied to the duration of the Workday Project. Continued employment is contingent upon the ongoing needs of the project, which is currently anticipated to conclude on or around June 30, 2027.

Essential Job Duties
Certify Quarterly and Annual Student Eligibility:In collaboration with campus partners, conduct the quarterly and annual eligibility review of student athletes by monitoring all courses and program changes, checking for grades and credits earned; manage all official reporting to Seattle University Athletics and NCAA; and staying up to date on compliance agency policies and legislation including attending virtual and in-person monthly webinars, quarterly trainings, and annual conferences.

Certifying Officer Liaison: Manage Office of the Registrar communications with special student groups; liaise with campus partners in SU Athletics and Student Financial Services to support student needs; maintain student and staff information resources like websites; resolve student academic problems with campus partners as needed; help train, supervise, and assist student workers.

Academic Policy Expert: Maintain an expert-level knowledge of academic resources, policies, precedents, and processes to liaise among university Deans, Associate Deans, faculty, staff, and advising offices to discern and interpret university policy.

Graduation Evaluator: Communicate progress toward degree completion to students and their faculty and professional advisors, conduct graduation evaluations, and post degrees for all students. Train and educate advisors and students how to use resources for auditing progress toward degree. Collaborate with students, faculty, and staff to resolve outstanding issues related to progress towards degree.

Transfer evaluator: Evaluate transcripts from other institutions and recognized testing programs and appropriately transfer academic work toward degree requirements through application of academic policy and individual degree requirements. Clearly communicate to students, faculty, and staff how transfer courses relate to SU requirements and policy. Along with partners in admissions, maintain the online transfer equivalency database (TES).

Forms and Records Processor: Evaluate and process student academic forms and documents, including all program changes, transfer verification requests, and evaluation of education abroad plans. Collaborate with students, faculty, and staff to ensure accuracy of student records. Audit student files, as necessary.

Technically Proficient Data Processor: develop and maintain fluency across integrated software platforms including Seattle University’s ERPs, Colleague Student and Student Self-Service and Slate, and Softdocs eforms; manage multiple email inboxes.

Customer Service Agent: Regularly respond to general email, live chat, and virtual office hour requests. Occasionally required to cover front desk phone and in-person client service.

Marginal Job Duties

Attend relevant training and networking events through professional organizations.

Facilitate training and round table discussions as requested.

Perform other duties as assigned by the University Registrar

Qualifications

• Bachelor's degree and a minimum of two (2) years of experience in higher education in the areas of records and policy regulation; OR an equivalent combination of education and experience sufficient to perform the essential duties of the job.
• Demonstrated experience complying with federal, state, and student athletics policy and NCAA compliance standards.
• Demonstrated experience adopting and excelling in the use of proprietary or industry specific software systems and tools.
• Ability to manage multiple electronic inboxes including email and eform platforms.

Preferred Qualifications

• Demonstrated experience as a NCAA School Certifying Official.
• Experience with Ellucian’s Colleague ERP.
• Experience using degree audit software.
• Prior work in a university Registrar’s and/or Admissions Office.
• The ideal applicant will possess excellent organizational skills, superior oral and written communications skills, familiarity with college student record systems, and the ability to use Microsoft Excel or SQL to analyze data.

Compensation at a Glance

Salary Range: $52,000 - $57,000

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate’s gender or any other protected status.

Hybrid Eligible

This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training.
