The Athletics Operations Coordinator for Men’s and Women’s Basketball provides comprehensive administrative and operational support to both programs, ensuring efficient planning and execution of team-related functions. This position plays a key role in managing day-to-day operations, supporting coaching staff, and coordinating logistics, while maintaining compliance with NCAA, MAC, and university policies. This position is primarily office-based; some evenings and weekends may be required to support sport schedules.

The Athletics Operations Coordinator for Men’s and Women’s Basketball provides comprehensive administrative and operational support to both programs, ensuring efficient planning and execution of team-related functions. This position plays a key role in managing day-to-day operations, supporting coaching staff, and coordinating logistics, while maintaining compliance with NCAA, MAC, and university policies. This position is primarily office-based; some evenings and weekends may be required to support sport schedules.
Duties and Responsibilities:
1. Coordinate and manage all team travel logistics including transportation, lodging, meals, and itineraries for both home and away games.
Assist with scheduling and operations of practices, shootarounds, and team meetings.
Act as liaison between basketball programs and internal departments (athletic training, compliance, academics, marketing, facilities, etc.).
Oversee team equipment needs, including ordering, inventory, and distribution. • Support game day operations including bench setup, credential management, and hospitality coordination.
Assist with preparation and tracking of program budgets, purchase requests, and expense reconciliation in coordination with the athletics business office.
Manage student managers and/or student interns assigned to both programs.
Coordinate summer camp operations and registration in conjunction with university and NCAA guidelines.
Provide administrative support to coaching staffs including calendar management, team communication, and special projects.
Maintain strict confidentiality and adhere to all Ball State, MAC, and NCAA compliance standards.
Perform other related duties as assigned.
Maintain regular and predictable attendance.
Minimum Qualifications:
Associate’s degree or equivalent from an accredited institution.
One year of experience in athletic operations, team administration, event planning, or a related field.
Strong organizational skills and attention to detail.
Ability to work flexible hours including nights, weekends, and travel as needed.
Proficient in Microsoft Office and general technology systems.
Bachelor’s degree in sport management, business, or related field.
Experience working directly with collegiate basketball operations or coaching staffs.
Familiarity with Banner, Teamworks, Argos, or similar administrative systems.
