Coordinates activities and functions in support of the Senior Associate Athletics Director/Senior Woman Administrator to ensure that goals and objectives related to sport program oversight, conference liaison duties, and internal operations are accomplished in alignment with priorities, deadlines, and budget constraints. This position supports a range of administrative and operational activities that are central to the success of Sun Devil Athletics’ sport programs and conference representation efforts. Duties include support of daily tasks, logistical coordination, documentation, and stakeholder engagement to ensure efficient operations and responsiveness to evolving priorities. Adheres to NCAA and Big 12 rules and regulations, as well as the policies and procedures of the department, the university, and the Arizona Board of Regents.
Salary Range : $51,500 - $64,400; DOE
Essential Duties:
Provides direct support to the Senior Associate Athletics Director/Senior Woman Administrator across all assigned sport programs and national conference commitments.
Manages executive calendar, meeting agendas, briefings, and follow-up actions.
Organizes travel arrangements, processes registrations, completes reconciliations, and coordinates RSVP tracking for professional development and competition oversight travel.
Oversees document and file management including Adobe document routing, digital filing systems, and storage of records.
Coordinates onboarding and orientation logistics for new staff within supported sport programs.
Assists in the coordination of Big 12 Council and NCAA Committee responsibilities, including scheduling, communication, and documentation.
Supports special projects and initiatives at the direction of the Senior Associate AD, including internal and external reports, research, and collaborative planning.
Provides logistical coordination for meetings, including room reservations, tech setup, catering orders, and on-site support.
Assists in planning and supporting athletic and sport events, including liaising with sport administrators, coaches, and external partners.
Drafts and compiles briefing documents for meetings, events, and committee participation.
Develops and maintains systems for tracking program needs, priorities, and recurring tasks to ensure seamless operations.
Serves in a supportive administrative role across areas such as communication, scheduling, reporting, and compliance-related tasks.
Interacts and coordinates with staff, coaches, and external stakeholders to support program goals.
Performs all other duties as assigned.
Minimum Qualifications:
Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications:
Experience in intercollegiate athletics or related sport administration.
Experience supporting executive-level administrators.
Experience with travel planning, reconciliation, and event coordination.
Experience with Microsoft Office, Adobe Acrobat, and digital filing systems.
Knowledge of NCAA, Big 12, and/or other athletic governance structures.
Excellent organizational and written/verbal communication skills.
Ability to manage multiple priorities in a dynamic fast paced environment.
Working Environment:
Activities are primarily performed in a standard office setting. Must be able to lift up to 25 pounds occasionally and participate in evening and weekend athletic events as required.
Minimum Qualifications:
Bachelor's degree and three (3) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.
